Stationery & Name Badges

UND stationery is reserved for official university business.

Stationery is ordered through the Print & Mail Center. Name badges are produced from Daydream Specialties. Any deviations from the stationery guidelines must be approved before printing.

If you have questions or need advice, consult identity@UND.edu prior to placing your order.

UND business cards are available to University faculty and staff.

Supervisors may order student employees business cards using departmental funds if the student will be formally representing UND in their position. This can include student ambassadors, resident assistants, students presenting on behalf of UND at conferences, medical residents, graduate teaching assistants, etc.

Undergraduate and graduate students cannot order official UND business cards for personal use.

Any deviations from the stationery guidelines must be approved prior to printing.

 

Logotype

The primary logotype is used on UND business cards.

Paper and Printing

Business cards are printed using four-color (CMYK) process on smooth white paper. Engraved or embossed business cards are not recommended. Consult identity@UND.edu with any special print requests.

Size and Margins

  • Business cards are 3.5" wide x 2" tall.
  • Required margin is 0.125" on all sides.

Typeface and Font Size

The typeface used is Helvetica. Font size is as follows:

  • UND.edu is 11-point bold.
  • The first and last name is 10-point bold with 12-point leading.
  • All other contact information is 8-point regular with 9.5-point leading.

Type Placement and Content

  • The logotype is placed in the upper left corner and aligns with the top and left margins. It is 2" wide.
  • UND.edu aligns with the baseline of the logotype and right margin.
  • A 3.25" green horizontal line (0.5 pt stroke) is spaced.
  • Name, title and unit information is set flush to the left margin and 0.125" below the green line.
  • Mailing address information is set flush to the left and bottom margins. The mailing address consists of the building, room number, street address, city, state and zip code.
  • Individual content information is set flush to the right and bottom margins.

Web Address (URL)

UND is always capitalized.

Headshots

Official UND headshots can be added to the back of business cards. Headshots must be taken by UND photographers, unless the card holder works outside of Grand Forks. Professional headshot services are available to University faculty and staff. Upcoming headshot days are listed on the Division of Marketing & Communications website . Double-sided business cards have an additional cost. The back will include the headshot and the name of the individual.

Digital Business Cards

Digital business cards follow the same guidelines as print business cards. They must be used for UND business only. Information that could generate personal financial gain cannot be included on digital business card profiles.

Other guidelines include:

  • Card Design: All digital business cards must be UND green with the white UND Logotype centered on the front (see example below).
  • Purchasing: Departments must purchase digital business cards using department funds from a third-party vendor. Please contact identity@UND.edu before placing a digital business card order for your department to see if UND has worked with that vendor on previous orders.
  • Digital Profiles: Managed by a department representative, not individuals.
  • UND headshots must be used as the digital profile photo.
  • The header image for each profile must reflect the UND brand.

Personalization

Personalized contact information is not recommended as it restricts department-wide use. Personalization can be achieved with the typed name and signature ad by including a business card with the letter.  

Size and Margins

  • Letterhead is standard letter size (8.5" x 11").
  • Recommended body copy margins are a 3" minimum top margin, 1" left and right margins and a 1" minimum bottom margin. Text should be left justified.

Typeface and Font Size

The typeface used for contact information text is Helvetica. Title text, if present, is Minion Pro (small caps). Font size is as follows:

  • Title text, if present, is 11.5-point medium with tracking at 50 and 9.5-point leading.
  • The unit name in the contact information is 10-point bold with 12-point leading.
  • All other contact information is 10-point regular with 12-point leading.

Type Placement and Content

  • The logotype is placed in the upper left corner and aligns with the top and left margins. It is 3.75" wide.
  • UND.edu aligns with the baseline of the logotype. It is left justified with the line extending to the 2" right margin.
  • The title and contact information are 0.185" from the baseline of the logotype.
  • A 7.125" green horizontal line (0.75 pt stroke) equally divides the space between the logotype and contact information.
  • The contact information is left-aligned to UND.edu. It does not extend past the right margin. Required contact information includes the unit name, building, room number, street address, stop number, city, state, ZIP code, and the main office phone number. A fax number and unit email may also be included.

Taglines and Secondary Logos

Including a secondary logo or an official tagline or motto can be approved if it provides worthwhile communication about the unit. Approval must be granted for such additions by the Division of Marketing & Communications.

Web Address (URL)

UND is always capitalized.

Envelope Design Specifications

Barcode

A barcode of the funding code used to pay for postage will be added to all envelopes. Requests may be made to omit the barcode for special mailings. The barcode is added to envelopes after the proof process.

  • Required .25 top and left margins. All other margins follow USPS regulations.

  • The title is 0.1" from the baseline of the logotype.  
  • A 2" green horizontal line (0.75 pt stroke) equally divides the space between the logotype and title line.  
  • The contact information aligns to the left margin. Required contact information includes the unit name, building, room number, street address, stop number, city, state, ZIP code. Some content variations may occur to accommodate specific unit needs. Envelopes that contain only the institution's name are not allowed.
  • “Address Service Requested" is 0.125" below the contact information.
  • The barcode is left-aligned and 0.125" below “Address Service Requested.”

Taglines and Secondary Logos

Secondary logos, taglines and other elements are not permitted on UND envelopes to reduce issues with USPS regulations.

UND name badges are available to UND faculty and staff.

Supervisors may order student employees badges if deemed necessary. Undergraduate and graduate students cannot order name badges.

Name Badge Template

Name badges will include the following information:

  • UND Primary Logotype
  • First and Last Name
  • Title (Optional)
  • Division, College or Unit (Optional)
  • Pronouns (Optional)

As feasible, it's recommended to develop a standard template for how information is listed on name badges for all employees within your unit. This will help ensure consistency across your whole unit.

Ordering Tips

  • You will not receive a proof of your order, so it is extremely important that you provide accurate information including correct spelling for names, titles and divisions.
  • Space is limited. If the information is longer than 20-25 characters per line, the vendor will need to print the information in a smaller size to fit – making it harder to read. Examples of how to save space include:
    • Use Philosophy & Religion Department instead of Department of Philosophy and Religion
    • Use History Professor instead of Professor of History
  • When deciding what to include, consider where you’ll wear your name badge most often and what information people need to know in that setting.
    • If your information cannot fit within two lines, you may request a third line, but the smaller text size may reduce readability and is not recommended. To request a third line, add a note in the “Comments” section of the online order form, and the vendor will contact you to discuss options.
